- We forget to back up our files for a long time.
- We don’t know where we saved our backup file.
- Our backup file is not working when we need it.
- We suffer a disaster and the backup file is destroyed along with it.
- Our computer is infected with some Ransomware virus and at the same time, the backup is also infected or encrypted.
- The external or network drive we have the backup on has been damaged and we don’t know it.

There is no doubt that file backup is extremely important.
The question is whether the whole process is done correctly. There are always two ways to do things: the right way and the wrong way.
In this article, we will be concerned with the right way, which contains 3 simple techniques to ensure your intellectual work, fruitful and technologically problem-free work, and your company.

The Basic Rule of 3-2-1 for Backup
An important backup rule to remember is the 3-2-1 backup!
- We should have 3 total copies of our files (preferably in different versions).
- Must be on 2 different media (eg hard drive, tapes, CD, USB Flash).
- 1 copy is important to be off the same site (preferably in Cloud Backup).
But let’s see how to make our backup in steps:
Step 1: Save to a separate storage medium
Attention! Saving your files on the same disk as the original data is not considered a backup!
It is the most common mistake because if something happens to the original medium, your original data, and the supposed “backup” you have been lost.
An external hard drive is considered the most flexible data storage device. In case of need, you simply disconnect it from your computer and take it with you. They are usually small and easy to use. They have a large capacity, and if you take care of them, they are a very useful and essential tool.
Be careful when connecting/disconnecting them! These are the times when most accidents happen.
Although easy to use, the external hard drive is less durable. If it is accidentally dropped, it is very likely to malfunction or not function at all. However, even in this case, there is a solution through the data recovery process.
In any case, storing your data on a hard drive outside of your computer or laptop can prove to be a lifesaver.
Step 2: Versioning / Different versions of the files on different dates
It is very important to save different versions of your files on different media. This way, you can protect yourself if you accidentally overwrite an important file over an equally important one and need to refer back to its previous version.
This is also important in cases where your files are infected with a virus.
Step 3: A version of your data in Cloud Backup
The third and last step to secure your files and data is to store them in a “cloud,” or, as we say in English, cloud storage.
